- Capture full name, address, phone number, and email ID of the donor
- Record PAN or tax identification for 80G certification purposes
- Mention donation type as general, project-specific, or corpus
- Specify mode of payment such as cheque, NEFT, UPI, or foreign remittance
- Maintain proof of donation like bank slips, receipts, or donor letters
Use of Donation Receipts and Acknowledgment
Issuing receipts confirms acceptance and helps donors claim tax benefits. Receipts must comply with legal and regulatory norms.
- Generate and issue signed receipts with the NGO’s PAN and 80G details
- Mention donation amount, date, donor name, and purpose clearly
- Include receipt number and unique transaction reference for tracking
- Provide physical or digital copies depending on donor preference
- Acknowledge large or recurring donors with letters or thank-you emails
Data Entry and Recordkeeping Systems
Accurate entry of donation data in a systematic format supports transparency. Both manual registers and digital platforms can be used.
- Maintain donation registers or Excel sheets with structured columns
- Use accounting software with donor tracking modules
- Record corpus and restricted donations separately for compliance
- Assign unique donor IDs to avoid duplication and confusion
- Ensure records are updated promptly after each receipt
Compliance and Tax Reporting
Donor records help NGOs comply with tax laws and reporting requirements under the Income Tax Act. Proper records reduce compliance risk.
- File Form 10BD annually to report all donations to the Income Tax Department
- Issue Form 10BE to donors for claiming deductions under Section 80G
- Maintain digital proof of identity and contribution for large donations
- Track anonymous donations separately as per Section 115BBC rules
- Ensure foreign donations comply with FCRA rules and donor disclosures
Data Security and Confidentiality
