Hello Auditor

How to manage multiple branches under ESIC?

Branch Registration under ESIC

  • Each branch must be registered individually under the main ESIC employer code.
  • Sub-codes are issued for each additional branch.
  • Application for sub-code is made through the main account dashboard.
  • Details like address, number of employees, and wage structure must be provided.
  • All sub-codes are linked to the main establishment’s ESIC profile.

Employee Allocation to Branches

  • Employees must be assigned to the correct sub-code based on their workplace.
  • Employee records should reflect the branch to ensure correct benefit allocation.
  • Transfers between branches should be updated in the system promptly.
  • Any change in branch location or employee count must be reported.
  • Maintain separate wage and attendance records for each branch.

Contribution Management

  • Contributions for all branches can be paid from the main employer account.
  • Separate challans must be generated for each sub-code.
  • Ensure accurate wage data entry for each branch before remittance.
  • Maintain TRRN and challan copies for each branch individually.
  • Track payments monthly to avoid branch-wise compliance gaps.

Compliance and Inspections

  • Each branch is subject to inspection by ESIC authorities.
  • Required documents must be available at the respective branch location.
  • Attendance, wage, and contribution records should be well organized.
  • Ensure that branch managers are trained in ESIC compliance basics.
  • Regular internal audits help maintain uniformity across branches.

Communication and Recordkeeping

  • Maintain a consolidated report of all branch-wise employee and contribution data.
  • Use standard formats for data submission and internal tracking.
  • Designate a compliance coordinator to monitor all branch activities.
  • Keep a record of correspondence related to each sub-code separately.
  • Ensure that all statutory notices are responded to in a timely manner.
