What is the employer’s role in employee ESIC benefits?

Facilitating Employee Registration

  • Register each eligible employee under the ESIC portal upon joining.
  • Ensure accurate entry of personal, contact, and family details.
  • Generate and issue the employee’s insurance number.
  • Assist in issuing the E-Pehchan card to access ESIC facilities.
  • Update records in case of transfer, promotion, or wage revision.

Timely Deduction and Contribution

  • Deduct 0.75% from the employee’s gross monthly wages.
  • Contribute 3.25% from the employer’s side and deposit total amount.
  • Generate challans and complete payment by the 15th of every month.
  • Maintain monthly contribution records with TRRN for reference.
  • Ensure zero default to keep employee benefits uninterrupted.

Educating Employees on Benefits

  • Inform employees about their entitlement to medical and cash benefits.
  • Provide guidance on maternity, sickness, injury, and dependent claims.
  • Share the location and availability of ESIC dispensaries and hospitals.
  • Encourage employees to use ESIC services when required.
  • Clarify the process and documents needed to avail specific benefits.

Assisting in Claims and Documentation

  • Verify and forward claim forms submitted by the employees.
  • Coordinate with ESIC branch offices for processing approvals.
  • Support with documentation like wage slips and medical certificates.
  • Track the claim status and ensure timely disbursal of benefits.
  • Help employees raise grievances or queries with ESIC authorities.

Maintaining Records and Compliance

  • Preserve attendance, wage, and contribution registers for inspections.
  • Submit monthly and annual returns as mandated under the Act.
  • Respond to ESIC audit queries and field inspections promptly.
  • Maintain transparency in employee coverage and benefits access.
  • Ensure continued compliance to protect employee welfare.
