Hello Auditor

Can a society issue newsletters or publications?

1. Legal Permission and Scope

  • A registered society is legally allowed to issue newsletters, magazines, journals, or publications.
  • The activity must align with the objectives stated in the society’s bye-laws or Memorandum of Association.
  • Publishing is permissible if it promotes education, awareness, culture, or public benefit.
  • No separate license is required for internal newsletters, but content must comply with applicable laws.
  • Societies must avoid any activity that resembles commercial press operations unless registered accordingly.

2. Purpose of Issuing Newsletters

  • To inform members about meetings, decisions, events, and programs.
  • To promote awareness of the society’s mission, goals, and achievements.
  • To share research findings, articles, or public interest topics relevant to the society’s domain.
  • To provide educational or community service content to the general public or stakeholders.
  • To enhance transparency, participation, and public engagement.

3. Content Guidelines and Compliance

  • Content must be truthful, non-offensive, and non-political unless the society is formed for political advocacy.
  • Defamatory, unlawful, or communal content is strictly prohibited.
  • Societies must respect copyright, privacy, and intellectual property laws.
  • If the newsletter involves advertisement or commercial content, taxation and registration norms may apply.
  • The language and tone should reflect the non-profit and service-oriented nature of the society.

4. Format and Circulation Options

  • Newsletters may be published in print or digital format, or both.
  • Circulation can be limited to members or extended to the public, depending on the society’s objectives.
  • Email newsletters, websites, PDFs, and social media posts are common modes of digital publication.
  • Printed versions may be circulated during meetings or posted to subscribers.
  • Proper records of circulation and editorial oversight should be maintained.

5. Registration and Publication Identification

  • If a society intends to publish a periodical for wide public distribution, it may need to register under the Press and Registration of Books Act, 1867.
  • An RNI (Registrar of Newspapers for India) certificate may be required for registered newspapers or magazines.
  • ISBN or ISSN registration can be obtained for periodicals and scholarly journals.
  • For one-time or member-only newsletters, such registration is generally not mandatory.

All publications must include the name, address, and responsible editor/publisher details.
