The Employees’ Provident Fund Organisation (EPFO) has announced an ambitious plan to digitize all physical records by the end of next year, marking a transformative shift in the way employee data and pension files are managed. This initiative aims to bring every past and current document—including service histories, contribution records, claim files, and correspondence—into a centralized digital repository. By eliminating reliance on paper-based systems, EPFO seeks to enhance transparency, accessibility, and data integrity for millions of subscribers and retirees.

As part of this initiative, EPFO will scan and upload decades’ worth of legacy records from its regional and sub-regional offices, integrating them into the Unified Portal accessible by employees and employers alike. The digitized records will be indexed using UAN (Universal Account Number) and Aadhaar-linked credentials, allowing for seamless retrieval and verification. The move will also enable faster processing of claims, transfers, and grievance redressal, reducing delays caused by misplaced or incomplete paper files.

EPFO officials have stated that the digitization drive will be completed in phases, with priority given to older pension records and high-volume offices. Once implemented, the system will support AI-driven document search, improve internal workflow efficiency, and offer real-time access to historical data. The organization views this effort as a cornerstone of its broader digital transformation strategy, aiming to create a modern, paperless EPFO that serves the evolving needs of India’s growing formal workforce.
