What records are needed during inspection?

Basic Registration and Compliance Documents

  • Complete list of all employees with ESIC insurance numbers.
  • Employee joining and exit records with appointment letters.
  • Department-wise employee classification and roles.
  • List of employees with wages above and below the ESIC threshold.
  • Updated employee master sheet matching payroll and returns.

Payroll and Wage-Related Records

  • Salary and wage registers showing monthly earnings.
  • Payslips issued to employees for the relevant months.
  • Bonus, overtime, and allowance details where applicable.
  • Bank statements or payroll transfer sheets.
  • Proof of deductions for ESIC and other statutory components.

Attendance and Working Records

  • Monthly attendance registers or biometric reports.
  • Leave records including paid and unpaid leaves.
  • Muster rolls or timesheets for all employees.
  • Shift schedules or duty rosters for shift-based staff.
  • Manual attendance logs if biometric data is unavailable.

Contract and Outsourced Staff Information

  • Agreements with third-party contractors or manpower agencies.
  • List of contract workers engaged during the inspection period.
  • Copies of contractor ESIC registration and code.
  • Proof of ESIC compliance for outsourced staff.
